Opening checklist and shift handoff

Northside Coffee has five people across two shifts and a sticky note that said "ask Jordan." Owner Priya set up three things in Portico: an opening checklist with a 6 AM reminder, a shift-notes thread so the night crew can hand off to the morning crew, and a timers list for cold brew.

What you'll end up with

  1. Make the Opening checklist

Same list every morning, checked off in place.

    1. In Portico Lists, tap +, name it Opening, set Type to Checklist, and tap Create.
    2. Add the steps: Espresso machine on & dialed in, Pastry case stocked, Till counted, Chairs down, Flip sign to Open.
    3. In Settings, set When marking items to Mark in place. The closer taps Mark all undone at the end of the night.

  2. Remind the morning crew at 6:00

One reminder to everyone on the list, every morning.

    1. In Settings, go to Reminders and tap Add list reminder.
    2. When: tomorrow at 6:00 AM. Repeat: Every day. Notify: Everyone on this list.
    3. Note: Doors at 6:30. Opening list is up. Tap Add.

  3. A weekly reminder just for the owner

Some reminders are only the owner's job.

    1. Add an item Place milk & oat milk order.
    2. Tap its bell (Add reminder). When: Monday at 2:00 PM. Repeat: Every week. Notify: Just me.
    3. Tap Add. Check the item off once the order is placed, and that week's reminder stays quiet.

  4. Start a Shift notes thread

The handoff: "grinder 2 is jamming," "Mrs. Patel's cake pickup is at 9." Kept on your agent, not in someone's personal texts.

    1. Tap +, name it Shift notes, and set Type to Conversation.
    2. In its Settings, keep New message notifications on.
    3. The closer posts handoff notes before leaving. The opener's phone gets them as notifications.

  5. Add a cold brew timer

A 16-hour steep everyone can see, so nobody has to remember who started it.

    1. Tap +, name it Cold brew, and set Type to Timers & alarms.
    2. Start a timer when the batch goes in. With Timer started and Timer finished turned on in its Settings, the crew gets notified at both ends.
    3. When it's done, a Timer finished alert offers Snooze 5 min and Stop.

  6. Bring the crew in

Invite each person to each list they need.

    1. On each list, tap Users, then + (Invite someone).
    2. Send by QR, Text, or Email. Once someone is your Portico friend, pick them under Or pick a friend and tap Invite.
    3. New people tap Accept in Portico Mobile after opening the link. Existing friends tap Accept under List invitations in Lists.

One invite for every list: in the agent console, create an invitation of type List (Things on an Edge Agent) and tick Opening, Shift notes, and Cold brew together. A list only shows up there after you turn on Share as a Portico Thing in that list's Settings.
